3. How we obtain information

Most personal information is provided directly by you when you:

  • Create an account

  • Create or edit a Property Thesis

  • Subscribe to Member

  • Request an Assessment

  • Contact us

  • Submit a Find or Finance enquiry

  • Request an introduction

  • Update your account

  • Choose to receive marketing

Some information is generated through your use of Property Thesis, such as calculation results, Thesis Readiness, usage allowances and service activity.

We may also receive limited information from service providers such as Stripe where necessary to administer your subscription.

Address information may be returned by our address-lookup provider after you submit a postcode or address search.

4. Why we use your information and our lawful bases

We only process personal information where we have a lawful basis.

Providing your account and Property Thesis services

We use account information, Property Thesis information and related service data to create and operate your account, generate and save analyses, provide reports and deliver functionality you request.

Our principal lawful basis is performance of a contract or taking steps at your request before entering into a contract.

Providing Member and Property Expert Assessment services

We use relevant account, Property Thesis and Assessment information to provide Member benefits and Property Expert Assessments.

Our principal lawful basis is performance of a contract.

Managing subscriptions and payments

We process subscription, billing and payment-status information to administer Member subscriptions, reconcile payments and manage cancellation.

Our bases may include performance of a contract, legal obligation and our legitimate interests in maintaining appropriate financial and business records.

Operating, securing and improving Property Thesis

We may process appropriate technical, usage and security information to maintain the platform, prevent abuse, diagnose faults, investigate security issues and improve the service.

We generally rely on our legitimate interests in operating a secure, reliable and effective service.

Where consent is legally required for a particular browser technology or analytics activity, we will seek that consent instead.

Responding to enquiries

We use information you provide to respond to questions and service requests.

Depending on the circumstances, our basis may be steps taken at your request before entering into a contract, performance of a contract, or our legitimate interests in responding to enquiries.

Making requested introductions

Where you expressly request a Finance, Accountant or other third-party introduction, we may use and disclose the information necessary to make that introduction.

Our basis will generally be taking steps at your request and, where appropriate, your consent or another applicable lawful basis explained at the point of referral.

Marketing

Where consent is required, we rely on your consent.

You can withdraw marketing consent at any time without affecting your ability to hold a Property Thesis account or use services you have purchased.

5. Property Thesis calculations and artificial intelligence

Property Thesis uses defined calculation methodologies and stored assumptions to produce financial calculations.

Artificial intelligence may be used to assist with explanations, summaries, research or supporting content.

AI is not intended to replace the underlying financial calculation engine.

Where personal information is processed using AI-supported functionality, we will process it in accordance with applicable data protection requirements and the purposes described in this policy.

Property Thesis does not intend Thesis Readiness or its analysis tools to make a solely automated decision that produces legal or similarly significant effects for you.

6. Address lookup

Property Thesis uses an external address-lookup service to make property entry quicker and more accurate.

When you use postcode lookup, the postcode is sent securely from the Property Thesis server to the address-lookup provider and matching address information is returned.

The address-lookup API credential is not exposed to you through the browser.

You can use manual address entry where that functionality is provided.

7. Payments and Stripe

Member subscription payments are processed by Stripe.

Stripe processes payment information under its own applicable privacy arrangements.

Property Thesis receives information needed to administer your membership, such as customer identifiers, subscription status, billing periods, successful payments, failed payments and cancellation information.

We do not need to store your complete card details ourselves.

8. Marketing, Mailchimp and Zapier

Where you expressly choose to receive marketing communications or the Investor Briefing, relevant contact and preference information may be processed using marketing and automation providers including Mailchimp and Zapier.

Marketing consent is separate from creating an account or purchasing Member.

Becoming a Member does not automatically subscribe you to marketing.

We maintain records of marketing preferences so that we can respect your choices.

You may unsubscribe using the link in a marketing email or change your preference through available account functionality.

9. Property Expert access

Authorised Property Experts and authorised Property Thesis personnel may access information reasonably required to provide Assessments, administer customer relationships and operate the service.

Access is intended to be role-based and limited according to the person’s responsibilities.

Internal Property Expert and Assessment notes may be retained as part of our service record and are not necessarily displayed within the customer-facing Property Thesis.

10. Finance referrals

Where you specifically request help with property finance, Property Thesis may provide a route to Home Group Financial Ltd.

Information will only be passed for a referral where appropriate to the request and relevant information will be presented at the point the referral is made.

Home Group Financial Ltd is a separate organisation and is responsible for personal information it subsequently processes under its own regulatory and privacy arrangements.

11. Find, Accountant and other introductions

Where you request a Find service or an introduction to an accountant or another third party, we may share the information reasonably necessary to progress your request.

Where another business will become responsible for its own use of your information, it will process that information under its own privacy arrangements.

We will not treat a general Property Thesis account as permission to send your information indiscriminately to third parties.

12. Other organisations that help us operate Property Thesis

We use service providers to help operate Property Thesis.

Depending on the service, these may include providers of:

  • Application infrastructure and hosting

  • Databases and authentication

  • Payment processing

  • Transactional communications

  • Address lookup

  • Marketing and automation

  • Security and monitoring

  • Professional or technical support

Where an organisation processes personal information on our behalf, we expect appropriate contractual and security arrangements to apply.

Where an organisation acts as an independent controller, its own privacy terms will also apply.

13. International transfers

Some technology providers used by Property Thesis may process personal information outside the United Kingdom.

Where UK data protection law requires safeguards for an international transfer, we will use an appropriate lawful transfer mechanism.

Depending on the provider and destination, this may include an adequacy regulation or approved contractual safeguards.

We will keep our international-transfer arrangements under review as our service providers and the law change.

14. How long we keep information

We keep personal information only for as long as reasonably necessary for the purposes for which it was collected, including legal, accounting, security and dispute-resolution requirements.

Retention periods are based on the purpose of each record and our legal obligations. The following periods describe our retention policy; they do not mean that every category is already deleted automatically or that an untested cleanup process is active.

Active account details and saved property Theses are kept while the account remains in use. Closing an account removes deletable account data sooner, subject to necessary financial records, suppression records and identified legal obligations.

Free accounts may be closed after 24 months without recorded authenticated activity. We first send a service notice giving at least 30 days to sign in and keep the account. Paid memberships, open requests and unresolved disputes are excluded. Where reliable activity information is unavailable, we do not infer inactivity from the account’s creation date.

Completed Assessment and enquiry records are normally removed or anonymised 24 months after completion. Open cases and specifically identified disputes or investigations may require longer retention.

As Property Thesis currently operates as a sole trader, necessary financial and tax records are retained for at least five years after the relevant 31 January tax-return filing deadline. Longer retention may apply where required for a tax investigation or other legal obligation. This does not mean keeping full property reports for that period.

Minimal nonfinancial account-closure evidence is normally retained for 12 months. Minimal evidence necessary for paid-contract disputes may be retained for six years after closure, or longer where an applicable financial-record deadline requires it.

Ordinary security and monitoring logs are normally retained for 90 days. Stripe payment-processing audit details are normally retained for 24 months. Minimal transaction and event identifiers may remain longer where needed for financial records or to prevent duplicate processing.

Completed marketing-system synchronisation records are normally retained for 12 months. Pending or failed requests remain until resolved. We retain necessary consent evidence while relying on it and minimal unsubscribe information for as long as needed to honour opt-outs. Suppression information is not used to send marketing.

Following closure, an email address may be retained temporarily to deliver the closure confirmation and complete the unsubscribe process. It is removed from those temporary records once these actions have been safely completed.

Payment providers, email services and hosting providers manage certain records and backups under their own retention arrangements. Deleted information may remain temporarily in backups until those backups expire. We do not promise immediate erasure from every provider.

Any extended retention for a specifically identified dispute or investigation is restricted to what is necessary and reviewed. Coded or hashed identifiers can still be personal data. We review information when it is no longer required.

Closing your account

You can close your Property Thesis account from Account → Close account. We ask you to verify your password and type a confirmation before proceeding.

Before closing your account

If your Member subscription is still set to renew, you must cancel it first through your Account.

If you have cancelled but still have paid membership time remaining, closing your account ends your access immediately. You will be asked to confirm this before closure.

If outstanding billing matters, an Assessment or another service request remain unresolved, contact hello@propertythesis.co.uk so we can resolve them before closing your account.

What happens when your account is closed

You are signed out and can no longer access the closed account. Links you previously shared to your Theses stop working.

Account closure removes deletable profile data, saved Theses, associated property details, share links, usage history, Assessment and enquiry records, and related internal notes from the active application database, subject to necessary financial records, suppression records and specifically identified legal obligations described in this policy. This does not mean that every retention category is already subject to automatic deletion.

We also unsubscribe your email address from our marketing list. If the email provider is temporarily unavailable, we retry the unsubscribe automatically.

Limited records retained after closure

Account closure does not remove every record immediately.

We retain a limited closure record to document your request, prevent delayed payment notifications from restoring access, and address relevant billing or legal matters. This includes the closure date, former account reference, payment-provider references and a hashed version of your email address. A hashed identifier may still constitute personal data. Following closure, your email address may be retained temporarily to deliver the closure confirmation and complete the unsubscribe process. It is removed from those temporary records once these actions have been safely completed.

Relevant invoices and payment records remain with our payment provider, Stripe, where needed for accounting, tax or other legal obligations.

Our email providers may retain unsubscribe and delivery-suppression records to prevent unwanted messages being sent to you.

We retain these records only for as long as necessary for their stated purposes or applicable legal requirements.

Backup copies

Information may remain temporarily in backups created before account closure, until those backups expire under our hosting provider’s retention arrangements.

If a backup is restored, we will reapply account closures and marketing suppression before returning the restored system to normal use.

Contact us

For questions about account closure, retained information or requests to exercise your data-protection rights, email hello@propertythesis.co.uk.

15. Security

We use technical and organisational measures intended to protect personal information against unauthorised access, alteration, disclosure or loss.

These include authentication controls, role-based access controls and server-side handling of sensitive integration credentials where appropriate.

No internet service can guarantee absolute security.

You are responsible for keeping your own account credentials secure and should contact us if you believe your account has been compromised.

16. Your data protection rights

Depending on the circumstances, UK data protection law may give you rights including:

  • Access to personal information we hold about you

  • Correction of inaccurate information

  • Deletion of information in certain circumstances

  • Restriction of processing in certain circumstances

  • Objection to certain processing

  • Portability of certain information

  • Withdrawal of consent where processing relies on consent

These rights are not absolute and may depend on the circumstances and lawful basis involved.

To exercise a right, contact hello@propertythesis.co.uk.

We may need to verify your identity before acting on a request.

17. Your right to object

Where we process your personal information on the basis of legitimate interests, you may have the right to object to that processing.

You have the right to object to the use of your personal information for direct marketing.

18. Withdrawing consent

Where we rely on your consent, you can withdraw it at any time.

Withdrawing consent does not affect processing that was lawful before the withdrawal.

Withdrawing marketing consent does not cancel your Property Thesis account or Member subscription.

19. Complaints

If you have concerns about how we use your personal information, please contact us first at hello@propertythesis.co.uk so that we can investigate.

You also have the right to complain to the Information Commissioner’s Office, the UK supervisory authority for data protection.

20. Cookies and browser storage

Property Thesis uses cookies, local browser storage and/or similar technologies where necessary to operate website and application functionality.

For example, the authenticated application uses browser storage to maintain an authenticated session.

Non-essential technologies requiring consent will not be treated as strictly necessary merely because they may be useful to us.

Please see our Cookie & Storage Policy for further information and available controls.

21. Third-party websites and services

Property Thesis may link to external websites and services.

We are not responsible for the privacy practices of third-party websites that operate independently from Property Thesis.

You should review their privacy information where appropriate.

22. Changes to this Privacy Policy

We may update this Privacy Policy to reflect changes to Property Thesis, our providers, our processing activities or applicable law.

Where a change materially affects how we use personal information, we will take reasonable steps to bring the change to the attention of affected users where required.

The latest version will show its last updated date.
